Program Administrator/Technical Assistant
 
The Roma Educations Fund seeks potential applicants for the position of
Program Administrator/Technical Assistant for the Roma Memorial
University Scholarship Program office, in Budapest/Hungary.

POSITION SUMMARY

Program Assistant will report directly to the Program Manager. Program
Assistant will be responsible for assisting Program Staff with Grant
administration and processing, as well as administrative issues, such as
but not limited to: office management, reimbursements, travel, training
and other program related event organization, etc.

Essential duties may include, but are not limited to the following:

Administration

� Enters and maintains data in MIS  (each individual Applicant data into
the Program, checking the Applicant�s program history and validity of
data, if applicable;
� Personalizes and send all types of correspondence based on the
information from MIS (general information about program, Grant
Contracts, Reject Letters, asking students for further information etc.)
Coordinates the process w/REF Program Coordinators.
� Assists Program Officer in preparation of Grants based on the
information from MIS;
� Screens Hungarian application and prepares the documents for RMUSP
advisory Board Meeting; Helps to maintain and monitor the Advisory Board
work in Hungary;
� Prepares related Program materials for the Selection/Steering 
Committee as requested by Program Manager; (Photocopying letters,
preparing the copied materials for the Committee Meetings, Conferences,
workshops, etc)
� Tracks and monitors the Grant Status (related documents: Contractual
obligations, academic documents, etc);
� Prepares grant payment information for Finance Department and for
Audit, as requested

Technical Assistance:

� Opening and sorting out incoming mail, Collecting and sending outgoing
mail, Organizing data;
� Answering phone-calls, responding the Program related questions from
the applicants;
� Updating RMUSP lists (applicants� lists, scholars� lists, various
distribution lists etc.)
� Checking and ordering office supplies; informing Office Management
about technical problems;
� Helping Program Staff in business travel related tasks;
� Assisting/preparing Program Staff with administrative issues, such as:
reimbursements, financial reports, institutional grant initiation, etc
